We are pleased to invite your organization to submit a proposal for the Exhibitor Showcase at The Best Show in Public Works. These briefings will be held throughout each day of the exposition in San Antonio.

These educational sessions are unique (and complimentary!) opportunities for exhibitors to reach public works attendees. The briefings are 45 minutes long and should demonstrate how your company's technologies provide a solution or service which addresses the needs of the public works industry. NOTE: This should not be a sales presentation on your product.

Due to the limited number of time slots available, not all proposals will be selected. Every effort will be made to notify applicants of their proposal's status by July 18, 2007. Proposals must be submitted no later than June 1, 2007, and must contain:

  • The completed proposal cover form, including session title (emailed information is acceptable instead of form)
  • A description of how your company's technologies uniquely address the needs of public works decision makers
  • Your commitment to use effective and attractive visuals (if visuals are part of the presentation). LCD projector, microphone, overhead and screen provided, all other A/V equipment is at your company's expense
  • Your commitment to provide a speaker who is highly knowledgeable in the subject matter and highly effective in presentation skills

Presentations will last 45 minutes and will be ongoing on Sunday, Monday, and Tuesday during exhibit hours. The Exhibitor Showcase will be located in the Exhibit Hall and clearly marked with signage. The Showcase program will be actively promoted to the pre-registered attendees and on onsite at the show, however to ensure attendance, exhibitors who participate in this program are strongly encouraged to do their own promotion in advance of the show.

Preferred Customer Passes allow you to offer the buyers you most want to meet FREE exhibit hall admission - a $35 savings over the regular price. Distributing Preferred Customer Passes has proven to be one of the easiest, most effective methods of increasing booth traffic. An effective Preferred Customer Pass campaign is the most important step to exceeding your goals at APWA's 2007 International Public Works Congress and Exposition.

Research conducted by the Center for Exhibition Industry Research confirms that exhibitors who use Preferred Customer Passes attract better, more qualified traffic at their booths than exhibitors who do not. Furthermore, invitations from exhibitors rank as the number one incentive for trade show attendance.

To ensure that you get as much booth traffic as possible, inform attendees (and potential buyers) ahead of time that your company will be exhibiting at the 2007 APWA International Public Works Congress and Exposition. Let them know who you are and what you have to offer. Target your audience, invite them to visit your booth, and most importantly, give them an incentive to do so! With so many booths to visit in such a short time, you'll have to make your booth stand out.

Tips for executing an effective pre-show promotion:

  • Segment your audience based on their area of expertise and send out a customized pre-show invitation (Tailor your promotions to a specific audience)
  • Invite clients and prospects to your booth often - a series of three or four promotions can be more effective than a single mailing
  • Switch up your marketing effort - send a postcard, and then follow up with an e-mail broadcast or telemarketing campaign
  • Send an e-mail

Want to invite your prospects and customers to The Best Show in Public Works but not sure where to start? Simply send them an e-mail! Cut and paste this sample e-mail, and personalize your message with your company name, booth number and logo. Using e-mail in place of mass mailings saves you time and money. Consider updating this message for different target audiences and link to your own website - or the APWA Congress website at www.apwa.net/congress.

Promote your presence at the 2007 APWA International Public Works Congress and Exposition using the list of media from the list found under the Industry Publications link above.

  1. Issue a press release (use this sample press release as a guide to creating your own) to trade show and business publications ideally 10 to 12 weeks before the show on a new product or service you will be announcing at the show.

    Some Important Tips:

    • Use product innovations to capture attention of the press
    • Send out a "media advisory" prior to the show announcing a new product to the press
    • Have high quality, media-ready photographs of your new product
    • Make sure someone in your booth is appointed to speak with press and that everyone in your booth knows of this individual's designation

  2. Create a press kit that includes your company information, product specification sheets, testimonials, articles featuring your company, etc. Put your press kits on CD-ROMs as this is the preferred format for the media, but keep some traditional kits with you as well.

    Helpful Hints for Your Press Kit:

    • Include press releases about your company - sample press release
    • Insert a company brochure or fact sheet
    • Add photographs and company logo sheets
    • Include any articles on your company or new products
    • Include press releases on new products

  3. Make sure your releases and high-resolution product shots are also available on your website.

Press / Media Room

Placement in the trade press is an important element of your marketing strategy. At the 2007 show we will staff a press room where representatives from the trade press can pick up your press kit and schedule interviews. This service will be available to all exhibitors and information on how you can take advantage of this opportunity will be forthcoming shortly.

APWA has devoted an entire section in the Official Congress Program and Show Guide to include a listing of any new products introduced to the marketplace after August 31, 2006, that will include the product's name, description and the exhibitor's booth number. If you have a new product that was introduced to the marketplace after August 31, 2006, you may enter it as a New Product this year at APWA. Don't miss this opportunity to give the Congress attendees the opportunity to view the most current and innovative technology in the industry! (Deadline: July 7, 2007.)
